Move-in Process

1. Come for a Viewing

Come and see The Headquarters Kobe in person. Just let us know via the contact form that you’d like a viewing and we’ll get back to you promptly to arrange a time. The police box (koban) right next to the building is the usual meeting spot — easy to find.

2. Let’s Get to Know Each Other

A sharehouse is more than just affordable shared housing — we believe the value of the community you build with your housemates is what matters most. After showing you around the rooms and facilities, let’s take a little time to sit down together in the living room and chat. We’ll share a bit about the community here, and we’d love to hear what you’re hoping to get out of sharehouse life. If it’s your first time, you might have some worries — we’re happy to talk through anything. We’ll ask you to let us know your decision, ideally within about a week. Please also note that we may occasionally decline an application — we hope you understand.

3. Paperwork

Once we’ve both agreed and set a move-in date, please get in touch. We’ll sign a contract — please prepare your ID and a personal seal (hanko). Initial fees and the prorated rent for the first month will be due before move-in. In principle, a guarantor is not required. The contract type is a fixed-term tenancy agreement.

4. Move-in Day

Please let us know your arrival time by the day before. Each room is furnished with a futon, so you can start living here right away with just the essentials. Shortly after you move in, we’ll gather all residents for a welcome party. Let’s share a meal together, get to know each other, and start building a warm community.

FAQ

Q: What are the initial move-in costs?

In addition to the prorated rent for the first month, an initial fee of ¥50,000 applies to all rooms. This breaks down as: ¥25,000 for contract/cleaning fees + ¥25,000 refundable deposit. The deposit is fully refunded upon move-out if there are no issues. (No key money or agency fees required.)

Monthly costs after move-in: rent + common fee of ¥12,000 per month (covering utilities, internet, and consumables). *Common fees may vary depending on circumstances.

Q: Is a guarantor required?

In principle, no guarantor is needed. You’ll need a valid ID and a personal seal (hanko) for the contract, along with an emergency contact phone number.

Q: Can I stay short-term?

We generally expect residents to stay for 6 months or more, but shorter stays can be discussed (a surcharge may apply). Standard notice for move-out is 1 month in advance.

Q: Can I apply without viewing the property?

Our policy is to meet in person, show you around, and have a conversation before making a mutual decision on move-in.

Q: Is there a screening process?

The most important factor is the conversation during the viewing. We also have an application form with a few questions. If you’re someone who can respect others and enjoy communal life, there should be no issues. Please note that if any information provided in the application is found to be false after signing the contract, the contract may be terminated regardless of the length of stay.

Q: What do I need to bring when I move in?

The house is fully equipped with everything you need for daily life. Each room has a bed, futon, desk, chair, and air conditioner. Please refrain from bringing personal fridges, cooking appliances, or heaters into your room.

Q: Do I need to bring my own bedding?

Clean futons and bed sheets are provided. If you prefer to use your own, that’s perfectly fine.

Q: How much notice is needed to move out?

Please notify us at least 1 month before your intended move-out date. If less than 1 month’s notice is given, one month’s rent from the date of notification will be charged.

Q: Are there any fees when moving out?

As long as you’ve lived here normally, there are generally no additional charges. The full deposit will be returned. However, if damage beyond normal wear and tear is found, appropriate compensation may be requested.

Q: Can I have guests or overnight visitors?

Guests and overnight visitors are welcome. However, since a sharehouse is everyone’s home, having unknown visitors without introduction is not ideal. Please notify the group messenger when you bring a guest. For stays past 11pm, a shared-cost contribution of ¥500 per person per night applies.

Q: Is there an age limit?

We don’t set strict age limits. However, we do consider whether someone is a good fit for the community — we hope you understand.
